Access to client notes is strictly limited to the practitioner.

Where email communication is used, care is taken to minimise the sharing of sensitive information. Emails containing personal data are retained only for as long as necessary and deleted once relevant information has been securely recorded. Clients are encouraged to limit the inclusion of highly sensitive information in email communication where possible.

Data Retention

Personal data is retained only for as long as necessary and in line with ethical, legal, and insurance requirements:

  • Adult client records and notes are retained for 7 years following the end of therapy

  • Enquiries that do not proceed to therapy are retained for up to 12 months

Once data is no longer required, it is securely deleted or destroyed.

Reynolds Counselling and Wellness does not store or process clients’ bank card details or full payment information directly. All payments are processed securely via Stripe, a third-party payment provider. When you make a payment, your payment details are collected and processed by Stripe in accordance with their own Privacy Policy and security standards. Reynolds Counselling and Wellness only has access to limited payment-related information, such as confirmation of payment, transaction reference numbers, dates, and amounts, for accounting and record-keeping purposes.
