Sessions available by appointment only.

These Terms and Conditions apply to all services provided by Reynolds Counselling and Wellness. By booking or attending a session, you agree to the terms outlined below.

1. Services Offered

Reynolds Counselling and Wellness offers:

  • Counselling (face-to-face and online).

  • Energy Healing (face-to-face, offered as a separate, optional service).

These services are distinct and are governed by different booking and cancellation arrangements, as outlined below.

1.1 Transitions Between Services

Counselling and Energy Healing are offered as separate professional services and are governed by different frameworks, objectives and agreements.

In some circumstances, a client may wish to transition from Counselling to Energy Healing, or from Energy Healing to Counselling. Any such transition will be considered on an individual basis and is subject to professional judgement, suitability and ethical considerations.

Where a transition is agreed:

  • The existing service will be formally concluded before a new service begins.

  • A separate assessment and agreement will be required.

  • A period of time may be observed between services to support appropriate boundaries and clarity of purpose.

  • Counselling and Energy Healing will not ordinarily be provided concurrently.

The decision to accept or decline a transition between services remains at the practitioner's discretion and will be guided by the client's best interests, professional standards and the maintenance of clear therapeutic boundaries.

2. Counselling Sessions

2.1 Introductory Call

If you are new to counselling with me, a free 15-minute introductory call is required before booking your first counselling session. This call is an opportunity to briefly discuss what you are seeking, ask questions and explore whether the support offered is the right fit. This call is not a counselling session.

2.2 Session Length

Counselling sessions are 50 minutes in duration unless otherwise agreed.

3. Energy Healing Sessions

Energy healing sessions are offered on an ad-hoc basis due to room availability and are booked via enquiry rather than automatic booking. Sessions are 90 minutes in duration unless otherwise stated.

4. Fees and Payment

4.1 General

Fees for services are provided separately and may be reviewed periodically.

4.2 Payment Timing

Payment for all sessions is required in advance.

Counselling

Payment is required to secure your appointment. No appointment is considered booked or confirmed until payment has been received.

Once we have agreed on an appointment date and time, I will hold that slot for 24 hours to allow time for payment. If payment has not been received within 24 hours, the appointment will automatically be released and may be offered to another client without further notice.

If payment is received after the 24-hour holding period, I will book the appointment only if the original slot is still available. If it has already been allocated to another client, I will contact you to arrange an alternative appointment and your payment will be applied to the new booking.

Payments are made via bank transfer. Reynolds Counselling and Wellness does not store or process clients’ bank card details.

Energy Healing

No appointment is considered booked or confirmed until payment has been received.

Once we have agreed on an appointment date and time, I will hold that slot for 24 hours to allow time for payment. If payment has not been received within 24 hours, the appointment will automatically be released and may be offered to another client without further notice.

5. Cancellation Policy

5.1 Counselling Sessions

A minimum of 72 hours’ notice is required to cancel or reschedule a counselling session.

  • Cancellations made with less than 72 hours’ notice will be charged.

  • In rare and unforeseen circumstances, only the room hire fee may be charged. This is assessed on an individual basis and cannot be guaranteed.

5.2 Energy Healing Sessions

  • You may cancel or reschedule up to 8 days before your appointment with no charge.

  • If cancelled or rescheduled within 7 days, the room hire fee will be charged.

  • If you reschedule within this 7-day period, a new room hire fee will also apply.

  • Cancellations made within 48 hours of the session are charged at the full session rate.

6. Late Arrival and Missed Sessions

If you arrive more than 10 minutes late, the session will need to be cancelled or rescheduled due to room availability.

  • Sessions will end at the originally scheduled time regardless of late arrival.

  • Missed sessions or late arrivals are chargeable in line with the cancellation policy.

To help sessions run smoothly, please aim to arrive no earlier than five minutes before your session or at your scheduled appointment time.

7. Attendance, Health and Safety

If either you or I develop symptoms of a contagious illness (e.g. sickness, flu, COVID-19), the session should not take place in person.

Where possible, sessions may be offered remotely. The cancellation policy still applies.

You must attend sessions free from the influence of alcohol or non-prescribed drugs. If this is not the case, the session will end immediately and be charged in full.

8. Emergency and Crisis Support

Reynolds Counselling and Wellness is not a crisis service. If you require urgent support, you should contact:

  • Your GP

  • NHS 111

  • 999 in an emergency

  • Your local mental health crisis team

9. Communication and Social Media

For counselling, email is my primary method of communication for appointment requests, cancellations, rescheduling and other non-urgent matters. Text messages are used only for urgent matters relating to an appointment taking place that day, such as unexpected delays, room changes or emergencies. If you contact me by text regarding a non-urgent matter, I will respond by email.

Therapeutic support is provided during scheduled sessions only. Emails and text messages are intended for administrative purposes only.

To protect your confidentiality and the integrity of our therapeutic relationship, I do not accept friend requests from current or former counselling clients on personal social media platforms. Additionally, I will not engage in therapeutic discussions via social media or messaging platforms. Any communication regarding counselling appointments should take place via email only.

10. Confidentiality

All sessions are confidential within the limits of the law and professional practice.

Information may be disclosed without consent only where there is:

  • A risk of serious harm to yourself or others.

  • Concerns about abuse of a child or vulnerable adult.

  • A legal requirement or court order.

  • Money laundering.

  • Terrorism-related activities.

11. Records and Data Protection

Brief client notes are kept in accordance with professional and legal requirements and stored securely in digital form. Any paper records are scanned and uploaded to a secure system, after which paper copies are destroyed.

Client records are retained for 7 years after the end of therapy, in line with UK professional guidance.

Payments made by bank transfer are processed securely through your banking provider and are subject to your bank’s privacy and security policies.

12. Professional Standards

I am a Registered Member of the British Association for Counselling and Psychotherapy (BACP) and work in accordance with the BACP Ethical Framework. I attend regular clinical supervision and engage in ongoing Continuing Professional Development (CPD).

13. Ending Counselling and Referral

You are not required to commit to a fixed number of sessions. It is recommended that at least one session is used for closure where possible. Either of us may decide to end therapy. If at any point I feel that I am not the most appropriate therapist to support your needs or that our work is no longer beneficial, I will discuss this with you openly and respectfully. Where appropriate, I will offer support in identifying alternative services or referring you to another qualified professional.

Therapy may also be ended where agreed boundaries, including attendance or payment arrangements, are repeatedly not maintained.

If I decide to end therapy, I will aim to provide reasonable notice wherever appropriate, unless immediate termination is necessary due to safety, ethical or professional concerns.

14. Amendments

These Terms and Conditions may be updated from time to time. The most current version will always be available on the website.
